2019 Northern Lights Qualifier Loyal Customer Rewards Program

With downtown hotels in high demand, clubs have been increasingly requesting the ability to pre-book hotel rooms for the Northern Lights Qualifier.  Four years ago we implemented a Loyal Customer Rewards Program to address this issue giving everyone a fair chance at the high demand hotels and also to reward the clubs who are “Loyal Customers”.  It has been very successful and we are continuing the program this year.  Please note that the Loyalty Program is only available for the Northern Lights Qualifier in Minneapolis in April; it is not available for the January Thaw/18’s Qualifier in Omaha.

Similar to airline frequent flyer programs, this program grants more privileges to those clubs/teams based on the number of rooms they book at an Approved Hotel. One of the major privileges is an early booking period for our Gold and Platinum levels. Simply by combining your parent and each team’s rooms together on a single contract every team in the event has the ability to qualify for this program.

In addition Northern Lights has added a “Platinum level ” Club program that allows combining individual teams from one club to achieve the minimum requirements for Platinum status. (See below).

Here are the basic steps needed to participate in the NLQ Loyal Customer Rewards Program. (details are provided below)

  • Enter the Tournament and submit your tournament entry fee payment.
  • Submit your Loyalty Rewards Application between October 9 and October 11. (The link to the Loyalty Program Application will be sent to you once your team has registered and paid for the tournament.)
  • Return the Loyalty Contract which has your pre-booked rooms no later than October 21.

For Teams/Clubs not participating in the Loyal Customer Rewards Program, general hotel reservations will open on October 23 at 10:00am Eastern time.

Our Loyal Customer Rewards program has four levels:

Silver Reward Level

At most Approved Hotels, for every 16 room nights booked through THS and utilized (one room for one night=one “room night”), the 16th room night is free*. THS will contact clubs/teams 2-3 weeks prior to arrival and notifying them of how many comp nights they have earned, the team will then specify, how they should be applied.

  • Applies to room nights booked through the THS web site or by phone with a THS representative on or after October 9, 2018 (for Gold and Platinum levels only) or October 23, 2018 for all others.
  • Room nights must be booked in an Approved Hotel.
  • Room nights for all teams in a club are automatically combined.
  • Complimentary room nights or rewards points room nights may not be counted to reach the 16 room night threshold.

Gold Reward Level

Second priority pre-booking privileges for teams booking 36 room nights or more on one contract. This reward level helps teams that want all parents and players to be booked in the same hotel; rooms may be used by anyone affiliated with the team: players, coaches, parents or friends.

  • Must book a minimum of 36 room nights or more on one contract and one rooming list.
    • Room nights for more than one team may not be combined to reach the 36 room nights per contract threshold.
    • Complimentary room nights or rewards points room nights may not be counted to reach the 36 room night threshold.
  • Must submit Loyalty Rewards Application (on line) between Tuesday October 9 and Thursday October 11, 2018.
    • THS will process Platinum and Gold Level Loyal Customer Rewards applications first according to the number of room nights requested then by the date the form was submitted. Platinum Level customers will be processed before Gold Level customers.
    • THS will call or email teams to confirm the reservation.
    • THS will issue a Loyal Customer Rewards Contract (LCC) along with a tournament registration code to each team that qualifies.
    • Teams must register for the event, submit the entry fee, and return the signed Loyalty Contract no later than Sunday, October 21, 2018.
    • No Loyalty applications will be accepted prior to October 9, 2018.
  • All rooms requested must be at a hotel already on the Approved Hotel list. No hotels will be added to the Approved Hotel list to use this reward level.
  • All reductions in room nights any time after the signed contract is returned to THS are subject to contract usage requirements. (90% of rooms nights reserved must be paid in full. Additionally, a non-refundable deposit will be charged by THS approximately 60 days prior to arrival. See contract for details.)
  • Person who signs the contract is responsible for payments, penalties (if any), and assuring that all rooms have valid names submitted prior to the rooming list deadline date.
  • Only one rooming list per contract however each team will be assigned a “parent passcode” that allows parents to individually book rooms from your block without affecting rooms you designate for coaches and players.
  • PLUS Silver Level benefit: At most Approved Hotels, for every 16 room nights booked through THS and utilized, the 16th room night is free*.

Platinum Rewards Level – Individual teams

First priority pre-booking privileges for teams booking 45 room nights or more on one contract. This reward level helps teams that want all parents and players to be booked in the same hotel; rooms may be used by anyone affiliated with the team: players, coaches, parents or friends.

  • Must book a minimum of 45 room nights or more on one contract and one rooming list.
    • Room nights for more than one team may not be combined to reach the 45 room nights per contract threshold.
    • Complimentary room nights or rewards points room nights may not be counted to reach the 45 room night threshold.
  • Must submit Loyalty Rewards Application (on line) between Tuesday October 9 and Thursday October 11, 2018.
    • THS will process Platinum and Gold Level Loyal Customer Rewards applications first according to the number of room nights requested then by the date the form was submitted. Platinum Level customers will be processed before Gold Level customers.

Platinum Rewards Level – Club Contract

First priority pre-booking privileges for a CLUB booking a minimum of 5 teams on the same weekend AND the combined average number of room nights per team is at least 39 room nights. This reward level helps clubs that want all of their teams & parents to be in the same hotel that want all parents and players to be booked in the same hotel and it allows combining each team’s total room nights to meet the minimum for the club. The minimum number for the Platinum Level Club contract is 39 multiplied by the number of teams.

  • Must have a minimum of 5 teams on the same weekend booking rooms to be considered a “club” contract.
  • Must book an average minimum of 39 room nights or more per team listed on the contract and submit one rooming list for the club, or one list per team.
    • Room nights for more than one team on the same weekend may be combined to reach the 39 room night average per team threshold.
    • Complimentary room nights or rewards points room nights may not be counted to reach the 39 room night average per team threshold.
  • Must submit Loyalty Rewards Application (on line) between Tuesday October 9 and Thursday October 11, 2018.

*Some hotels excepted. Some hotels require a 3 night stay per room. See the Approved Hotel list for information. Within 30 days of the tournament start, rooms returned to the hotel from our block may be sold by a hotel at lower rates.
